ABOUT THE ROLE
As we continue to make an impact in the fast-growing high-tech field of integrated photonics, we are looking for an organized and proactive Administrative Assistant to support various departments.
In this role, you will handle key administrative tasks, streamline processes, and ensure smooth communication across departments. Your contribution will be essential to maintaining operational efficiency and supporting our dynamic teams.

YOUR RESPONSIBILITIES
1. Sales:
- After the sales receive their signed offer, you’ll be managing the process with the customers from Order-to-Cash (e.g. supplying the needed documents), up until the first invoice.
- Onboarding of Luceda as a new supplier in customer-portals.
- Ensuring correct delivery of products, licenses, renewals, …
2. Marketing:
- Organize and support marketing initiatives, including:
- Ordering supplies and monitoring stock
- Scheduling and organizing events
- Inviting and tracking participants
- Managing other organizational tasks
3. Customer Relationship:
- Assisting sales representatives in various administrative tasks during the Lead-to-Order process.
- Customer contract administration in collaboration with legal.
- Updating and managing our CRM-system Odoo.
4. Provide regular reports to all departments.

YOUR PROFILE
We are looking for a candidate with the following qualifications:
- Minimum 1 year of experience in a similar role.
- Fluent in English (spoken, read, and written) as it is the company's working language.
- Knowledge of Dutch is a plus but not required.
- Strong ability to quickly understand and improve processes.
- Commercial insight and strong organizational skills.
- Proactive attitude with a problem-solving mindset.
- A great experience with Microsoft Office and a CRM-system
- Experience with AI tools such as ChatGPT is an advantage.
